We currently have an ASAPA opening for an Office Manager & HR Coordinator for our newly established office in Vilnus, Lithuania. 

We are looking for someone who is self motivated and can work independently, thinks “outside of the box”, and can navigate complex procedures, with a professional, charismatic, and energetic demeanor. The responsibilities include but are not limited to:

Office Management: 

  • Oversee and support all administrative duties in the office and ensure that office is operating smoothly
  • Manage office supplies inventory and place orders as necessary
  • Perform receptionist duties: greet visitors, and answer and direct phone calls
  • Receive and sort incoming mail and deliveries, and manage outgoing mail
  • Develop office policies and procedures, and ensure they are implemented appropriately
  • Assist with office layout planning and office moves
  • Manage office budget
  • Identify opportunities for process and office management improvements, and design and implement new systems
  • Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports
  • Greeting visitors, answering of incoming phone calls and delivering world-class service to our customers.
  • Coordinating appointments and meetings and managing staff calendars and schedules.

HR Administration:

  • Structuring and organizing HR-related documents (collection of pre-onboarding documents, help with preparation of employment contracts, addendums,) according to labor law requirements
  • Act as support in order to ensure that all payroll related events are tracked in a proper way and on time in order to meet payroll submission deadlines
  • Participate in optimization of HR everyday processes
  • Manage various HR queries and follow-up activities ad-hoc if needed
  • Provide accurate and timely support in relocation projects by collecting necessary documents and ensuring a timely appropriate action
  • Tracking if payroll data is integrated in an accurate way into the HRIS (salary increases, promotions, personal data changes, time-off, sick leave)
  • Ensure that the internal employee database is up-to-date and integrate information
  • Provide support in on-boardings, facilitate well-being and ensure that the workplace is prepared for the first day
  • Prepare welcome packages for new joiners
  • Support the team in global HR projects align with global business strategy
  • Collaborating with payroll providers, tax advisors etc.

 

The successful candidate will demonstrate:

  • 3+ years experience in a similar role in Lithuania
  • Bachelor`s degree in HR Management, Business Administration, or equivalent education
  • Good knowledge of Lithuanian employment law, European employment law knowledge is considered a strong asset
  • Fluent in English + Lithuanian is mandatory any other language is considered as an asset
  • Good knowledge of MS office tools and communication channels
  • Ability to work in dynamic fast-paced and matrix-organized company structures
  • Self-starter with a proactive attitude and analytical approach in problem-solving
  • Strong interpersonal and communication skills
  • Strong organization skills and a good sense of time management
  • Team-orientated and open-minded for intercultural work experience
  • High motivation for learning and self-development
